1. Introduction

ProMaTo is operated by Wisdom InfoSoft ("ProMaTo", "we", "us", or "our"), with its registered office at [Registered Office Address], India. We provide an AI-assisted business management platform, including CRM, Lead Management (LMS), Order Management (OMS), Task Management (TMS), Project Management (PMT), and related tools, along with automation features that connect to third-party services on your instruction. This Privacy Policy explains how we collect, use, share, and protect information when you visit our website, create an account, or use our Services, including automations that connect to Google, Meta (Facebook and Instagram), the WhatsApp Business Platform, and LinkedIn. Please read it together with our Terms of Service.

2. Our Two Roles: Controller and Processor

We handle personal data in two different capacities, and your rights depend on which applies:

  • As a data controller: For information about our website visitors and account holders (for example, the person who signs up and pays for ProMaTo), we decide how and why that data is processed. This policy governs that data.
  • As a data processor: When you connect your own accounts and run automations, we process the personal data of your leads, contacts, and customers ("End-User Data") only on your behalf and on your instructions. In that case, you are the controller of that data, you are responsible for having a lawful basis and the necessary consent to use it, and your own privacy notice applies to those individuals. Our processing of that data is also governed by our Data Processing terms.

3. Information We Collect

We collect the following categories of information:

  • Information you provide: Name, email address, phone number, company name, role, billing details, and any content you submit through forms, onboarding, or support requests.
  • Account and usage data: Login records, settings, actions taken in the platform, IP address, device and browser type, and pages visited.
  • Cookies and similar technologies: Used to keep you signed in, remember preferences, measure usage, and support marketing. You can control cookies through your browser settings.
  • Data from connected integrations: When you authorize a connection, we access data from that service to run the features you request. This is described in Section 4.
  • End-User Data: Leads, contacts, messages, orders, and related records that you import or that flow in through your connected accounts, which we process on your behalf.

4. Data From Third-Party Integrations

When you connect a third-party account, you grant ProMaTo permission to access specific data from that service so we can provide the automation and features you set up. We only request the access needed for those features, and you can disconnect at any time (see Section 12). Depending on the integrations you enable, this may include:

  • Google (Google Sheets, Google Maps, and sign-in): Your basic Google profile and email for sign-in, spreadsheet data you choose to sync, and location or place information used to display or enrich records.
  • Meta (Facebook and Instagram): Pages you manage, Lead Ads form submissions, and messages sent to and from your connected Page or Instagram account, used to capture and respond to leads.
  • WhatsApp Business Platform: Phone numbers, message content, and delivery status for conversations you run through ProMaTo, subject to WhatsApp opt-in and messaging rules.
  • LinkedIn: Profile and lead information you authorize, used to capture and manage leads.

ProMaTo is not affiliated with, endorsed by, or sponsored by Google, Meta, Instagram, WhatsApp, or LinkedIn. Each service is controlled by its own provider under its own terms.

5. Google API Services User Data Policy (Limited Use)

ProMaTo's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we use Google user data only to provide and improve the user-facing features you actively request. We do not use it for advertising, and we do not sell it. We do not use Google user data to train, develop, or improve generalized or foundation artificial intelligence models. We do not allow humans to read your Google user data unless we have your consent for specific data, it is necessary for security purposes such as investigating abuse, it is required to comply with applicable law, or the data has been aggregated and anonymized. You can review and revoke ProMaTo's access to your Google account at any time through your Google account permissions.

6. Meta and WhatsApp Platform Data

Our access to and use of information obtained through Meta platforms, including Facebook, Instagram, Messenger, and the WhatsApp Business Platform, complies with the Meta Platform Terms and applicable Developer Policies. We use this information only to deliver the lead capture, messaging, and automation features you configure. We do not use it for unauthorized purposes, and we do not sell it. Messaging through WhatsApp is subject to WhatsApp's opt-in and messaging policies, and you are responsible for ensuring you have a valid opt-in from each recipient before messaging them through the platform.

7. How We Use Information

We use information to:

  • Provide, operate, and maintain the Services and the automations you set up.
  • Authenticate you and secure your account.
  • Process payments and manage subscriptions.
  • Respond to inquiries and provide customer support.
  • Send service messages and, where permitted, product updates.
  • Monitor, troubleshoot, and improve the Services.
  • Detect and prevent fraud, abuse, and security incidents.
  • Comply with legal obligations and enforce our Terms.

End-User Data is processed only to deliver the features you request and according to your instructions, not for our own independent purposes.

8. Artificial Intelligence Features

Some features use artificial intelligence to draft replies, qualify leads, or summarize records. To provide these features, relevant content may be processed by third-party AI providers under agreements that restrict their use of that content. We do not use your Google user data to train generalized AI models, and we do not use your content or End-User Data to train our own generalized AI models. AI outputs can contain errors, so you remain responsible for reviewing them before relying on or sending them.

9. How We Share Information

We do not sell your personal information. We share it only as follows:

  • Service providers (sub-processors): Trusted vendors who help us run the Services, under contracts that require them to protect the data. These include cloud hosting, payment processing (for example, Razorpay), messaging services (for example, the WhatsApp Business Platform and Meta), and AI processing providers. A current list of sub-processor categories is available on request.
  • Integrations you enable: When you connect a third-party service, data flows between ProMaTo and that service as you configure.
  • Legal and safety: Where required by law, legal process, or to protect the rights, safety, and security of ProMaTo, our users, or the public.
  • Business transfers: In connection with a merger, acquisition, or sale of assets, subject to this policy.

10. Data Retention

We retain personal data for as long as your account is active or as needed to provide the Services, and afterwards only as required to meet legal, tax, accounting, or security obligations. When you close your account, we delete or anonymize your data within a reasonable period, unless longer retention is required by law. You can also request deletion as described in Section 11.

11. Your Rights

Depending on your location, including under India's Digital Personal Data Protection Act, 2023 and, where applicable, the EU and UK General Data Protection Regulation, you may have the right to:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Ask us to correct inaccurate or incomplete data.
  • Deletion: Ask us to delete your data, subject to legal limits.
  • Withdraw consent: Withdraw consent where processing is based on it, without affecting prior processing.
  • Portability and objection: Where applicable, receive your data in a portable form or object to certain processing.
  • Grievance redressal: Raise a complaint with our Grievance Officer (Section 14) or with your local data protection authority.

If you are an End User whose data we process on behalf of one of our customers, please direct your request to that customer, and we will support them in responding.

12. Revoking Integration Access

You can disconnect any integration at any time from your ProMaTo settings. You can also revoke access directly with the provider, for example through your Google account permissions or your Meta business settings. After you disconnect, we stop accessing new data from that service, and we delete or retain previously received data in line with Section 10.

13. Data Security and International Transfers

We use appropriate technical and organizational measures, including encryption of data in transit, access controls, and monitoring, to protect personal data. No method of transmission or storage is entirely secure, so we cannot guarantee absolute security. Your information may be processed in countries other than your own. Where required, we put appropriate safeguards in place for such transfers.

15. Children's Privacy

Our Services are intended for businesses and users aged 18 and above. We do not knowingly collect personal data from children. If you believe a child has provided us data, please contact us so we can remove it.

16. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the date above. If changes are significant, we will provide additional notice where required. Your continued use of the Services after an update means you accept the revised policy.
